How we use your information
HireReef is run by Kinora Group Ltd, a recruitment company registered in England (company number 17067557, 71-75 Shelton Street, London WC2H 9JQ). Kinora decides how your information is used and is responsible for it. Amar Systems Ltd builds and runs the HireReef software for Kinora and handles your information only on Kinora's instructions.
What we collect
- What you give us: your name and contact details, your CV, your work history, and your answers to our questions.
- If you choose to speak to our voice assistant: a recording and a written transcript of the conversation.
- A recording of your visit to this site (what you click, type and see), so we can find and fix problems.
Please do not tell us about your health, religion, politics or other sensitive matters. We do not ask for them and do not need them.
Where your details come from
From you, through this site or a CV you email to us, or from someone who sends us your CV for a role: a job board such as Caterer.com or LinkedIn, our applicant system, or a person who refers you.
Why we use it, and what the law allows
- To find you work, and to tell our recruiters about you. The law allows this because it is in your interest and ours that we can match you to roles (this is called legitimate interests). You can object at any time.
- To record every visit to this site, so we can find and fix problems. The law allows this because it is in our interest to keep the site working (legitimate interests). You can object at any time.
Who sees it
- Kinora's recruiters.
- An employer, when a Kinora recruiter puts you forward for a role.
- An employer looking for someone for a role may see a short profile of you without your name or contact details: your current role, area, years of experience, whether you have been screened, and why you might suit the role. Your name and contact details go to them only when a Kinora recruiter puts you forward.
- The companies that run this service for us: Vercel (hosting, in the United Kingdom, with the software built in the United States), Neon (database, United Kingdom), Amazon Web Services (the AI assistant, European Union), PostHog (session recording), ElevenLabs (voice, United States) and Resend (email).
- Claude, an AI assistant made by Anthropic (United States), when one of our recruiters uses it to search and read profiles.
Where your information goes to the United States it is protected by the UK-US data bridge or by contract terms approved for international transfers.
The AI assistant
You are talking to an AI assistant (Claude, made by Anthropic). It reads your CV and your answers, asks follow-up questions and writes a summary for our recruiters. If something you tell us differs from your CV, it notes both for the recruiter. It may suggest roles that could suit you. It does not decide anything. A Kinora recruiter reads your profile and makes every decision about whether to put you forward.
How long we keep it
We keep your details for two years after you were last in touch with us, so that we can contact you about future roles. Then we delete them, unless you ask us to keep them. Session recordings are deleted after 30 days. Emails we receive that are not job applications are deleted after 30 days. You can ask us to delete everything sooner.
If you refer a company to us
We use your name, email, WhatsApp number (if you give it), the rate you agreed with us, and what you tell us about the company and who to contact there, to follow up the introduction, keep you updated and pay any referral fee. The law allows this because it is needed to run the referral arrangement with you (a contract), and for the company details because it is in our interest to follow up the introduction (legitimate interests). Kinora's administrators see it, and the companies that run this service (listed above) store it. We keep a referral for 12 months if it does not lead to a hire, and for six years after any fee is paid, because we must keep payment records. Please only give us the work details of people at the company who would expect to hear about this. The rights below apply to you too.
If someone refers your company to us
Someone who knows your company may give us your name and your work email or phone number. We use them to contact you about the introduction and, if you are interested, about Kinora's recruitment services. The law allows this because it is in our interest to follow up an introduction to a business (legitimate interests). When we first contact you, we tell you who referred you. If you tell us not to contact you, we stop, and keep only a note so that it stays that way. Otherwise we keep your details for 12 months, or for as long as your company works with us. The rights below apply to you too.
Your rights
You can ask us for a copy of your information, to correct it, to delete it, to stop or limit how we use it, or to give it to you in a form you can reuse. You can object to our use of it, and you can ask for a person to look again at anything the AI assistant wrote about you. Write to privacy@hirereef.com and we will reply within one month. If you are unhappy with our answer you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
